Shelter Association (Winter) Program.

 
Thank you for Shelter 2010!
Our St. Francis community hosted the Shelter Association’s Rotating Homeless Shelter from March 15th to March 22nd., 2010. About 15 homeless men stayed in our gymnasium each evening. Almost 60 adults and high school students supported the shelter. Their service included driving the men to and from the Delonis Center each day, providing snacks and beverages as well as serving food and drinks to the men each evening. Adults also served as members of host teams staying overnight in the gym. St. Francis School participated in the shelter program through an ambitious service project, initiated by our 5th graders and led by their teachers. Every 5th grade student assembled a container of personal care items, snacks and a note of encouragement for delivery by our host teams to each overnight guest. Additionally, the 5th grade collected personal care items from all St. Francis students. These items were donated to the Delonis Center in support of their ongoing work for the homeless. Thank you to all the students and volunteers who made this week possible!

Volunteer coordinators' position descriptions:
     This over-flow-rotating shelter for homeless men during one week in the winter is a short term one time opportunity to serve our community. For Actual Shelter Dates Click Here!
     Coordinate the Volunteers: Before and during the shelter we have one person to be responsible for each one of these areas:  1) Drivers2) Over Night Hosts; 3a) Set Up/Servers; & 3b) Snack Providers.  Each of these positions involves some phone calling and keeping an organized list of persons involved.  (The coordinator does not necessarily have to be present at the entire event.) 
     Parishioners will sign-up to volunteer for short simple tasks during the week like: transport our guests one time, spend a night, just be present at an early evening to set-up & socialize with our guests, or provide some food (food & snacks are complementary not necessary). 
    Each coordinator keeps a volunteer list up-to-date for the partiular area of responsibility accepted, and communicates any special needs with the persons that signed-up. 
     Our Christian Service Committee & the Chairperson offers support to the volunteer coordinators.  Contact the Parish Social Ministry Office,  .

Come join St. Francis in hosting approximately 20-25 homeless men from our community.  Below are some ways in which you could help with coordinating volunteers that sign-up for this ministry.

 
Coordinators' To-Do-Checklist / Task List

Before you begin, please read over the online sign-up form for the shelter program.  Please help the Parish Social Ministry Director, Scott Wright, with proof reading it & keeping it up-to-date.

Publicize the need for coordinators.  One overall coordinator person must keep track of the details of who & what is already committed or needed.

"Sign-ups" are e-mailed to all coordinators through the web page.  Decide who is responsible to pay attention to each area of coordination to respond to the sign-ups & any questions that may arise from participants.   The volunteers that sign-up are told, "We will contact you soon to discuss our upcoming plans."   All sign-up sheets that are returned to the office by fax and/or in the collection basket at St. Francis are given to an evening receptionist to be typed into the Web form sign-up, which is automatically submitted to the e-mail addresses of the persons responsible.

During the Summer (about 7 months before the shelter program)
Communication with the Shelter Association & other St. Francis Parish  & School staff will establish a date. Reserve the gym
(Sleep in the School Gym?  or in a warmer place like the School Music Room or Corridor??)
from 8:15PM - 7:00AM beginning on the Monday evening every day until the Monday morning a week later.

Just Before the Shelter Beginning Date

  • Signs must be posted to welcome our guests & to inform staff & others about the shelter program.   These signs (here in Word format)  are already printed and laminated in the Parish Social Minstry Office file cabinet under "Shelter". 
  • Shelter Bedding Drop-off: The Rotating Shelter contact  person will call us on Friday (a week before the shelter week starts) to confirm that the shelter can drop off the bedding on Monday.


Overall Coordinator (One needed):

  • Arrive at 7:30PM get envelope and keys from Parish Office kitchen.
  • Please make sure that you Unlock the Front Gym Door for our homeless guests & volunteers to enter through when they arrive at about 7:45PM - 8:00PM.
  • Meet volunteers and make sure all have arrived.
  • Brief volunteers on their jobs.
  • Identify a leader for the overnight.
  • Give the keys and envelop to the overnight leader. Brief him/her on the job.
  • Deal with any problems as they come up.
  • When all volunteers for the night are present, go home.

Evening Drivers - St. Francis Homeless Shelter

Dear Evening Drivers,

Shelter Week is next week! Before getting into the details, let me again thank each of you for your support of the men and the St. Francis Homeless Shelter. This could not happen without you and, on behalf of our guests, thank you for all your help.

The Schedule: Here's the schedule as of this afternoon. It's thin in a number of areas but I'm continuing to contact potential drivers. If there's anything unexpected in the schedule please let me know! The number in ( ) after your name is the number of available seats I'm expecting in your vehicle. We are expecting anywhere from 18 to 25 men at the St. Francis shelter.

The Details:

A) Evening drivers are to arrive at the Delonis Center/Ann Arbor Shelter Association at 8:00pm. The address is 312 West Huron in Ann Arbor. A Google map and turn by turn directions for the trip to St. Francis are included as an attachment to this note. 

B) Drive the men to the St. Francis gym for the overnight stay. After taking the men to St. Francis you have completed your evening shelter service. 

C) Please ask all your passengers to wear their seat belts.

D) Smoking is not permitted in any St. Francis building. The men will be allowed to smoke outside the gym door. The no smoking rule in effect at St. Francis also pertains to your vehicle. If you are a smoker however and normally smoke inside your vehicle, the decision to allow smoking while in transit to St. Francis is yours.

I hope I've answered all the major questions about evening driving. If I've forgotten or misstated something please get back to me so we can get it corrected. You have my most sincere appreciation for everything you do in support of our guests during shelter week. Keep these men and all the homeless in your prayers as you prepare for their arrival.

Overnight Leader (One needed):

  1. Arrive between 8:30PM-9PM
  2. Get the keys and envelop from Coordinator.
  3. Organize shifts to keep one person awake at all times.
  4. Turn off the lights at 10:00.
  5. Lights on at 6:00 – Make sure everybody is awake.
  6. Boil water for coffee.
  7. Meet AM drivers and insure all clients get transported to St. Andrews.
Food Provider:
  1. Bring food for the evening (finger food, sandwich, etc.) to the parish office kitchen. This should include paper plates, utensils, and cups.

If you're sharing a date with someone, please make contact with the other person(s) to be sure we don't end up with 47 sandwiches for that evening! I'll forward notes to those sharing dates with appropriate contact information.

The details:

A) Your snack may be delivered to St. Francis in 2 ways:
1) Bring your snack directly to the St. Francis gym by 7:30pm on the evening you've agreed to provide the snack. Someone will be there to accept it.
2) You may take your snack to the St. Francis parish office at any time during office hours. The parish office is open Monday-Thursday from 8:00am to 8:00pm, Friday from 8:00am to 6:00pm and Saturday from 10:00am to 2:00pm. Tell the person at the front desk you have snacks for the shelter. They'll escort you or direct you to the kitchen area where our shelter food will be stored.

B) If you're delivering any snack item in a bowl, pot or container that needs to find its way back to you, PLEASE label that container with your name! We'll accumulate lots of containers during the week and it would be nice to know if they should be retained for pickup by their owner. Recyclable pans and containers would be great if at all possible.

C) If your food/snack requires a bowl or plate, could you bring paper plates/bowls and appropriate utensils? In my book, items such as cookies, brownies, sandwiches and the like are easily handled with a napkin and do not require paper plates.

D) That leaves us with recommendations for the type of snack. We are expecting 20-25 men each night. I had forwarded suggestions to most of you in an earlier note confirming your sign-up. The parish guidelines for snacks simply say "finger food, sandwich, etc.". Remember that the men will have completed their dinner less than an hour before arriving at St. Francis. Our mission is to provide hospitality and the "finger food" mentioned in the parish guidelines is one way of supporting that mission. Expanding on the parish guidelines, I believe sandwiches (turkey, ham, other?), individual sized bags of chips, nuts or pretzels, pieces of cheese, fresh fruit such as apples or bananas, cookies, brownies, muffins are directionally the kinds of items we should provide. We'll also have coffee, tea and juice. This is by no means an all inclusive list but demonstrates the spirit of our intent. As of today, the forecast predicts continued above normal temperatures through next week. Things can change but if that holds, items such as soup may lose some of the appeal they have in colder weather.

E) I have asked several of you to bring coffee, juice, tea, coffee creamer and other beverage related items in support of the shelter. If I haven't contacted you with a specific request for help with beverages, please plan to bring some assortment of the "solid" foods described above. We'll monitor beverage consumption as the week progresses and will make changes as needed. Some beverage plans are still to be finalized and we'll handle those plans as they develop.

F) Finally, there have been times when some of the men might express a desire for a specific food item. Maybe it's a peanut butter & jelly sandwich or a different kind of juice in the morning. Maybe we'll find someone has an allergy issue with certain foods and could use some additional help. I would like to be able to communicate such a desire to those providing snacks later in the week. If it's something we can reasonably provide I'd like to be able to honor those requests. I'll be in contact with you as is appropriate.

I hope I've addressed all your snack related questions but it's quite likely I've omitted something. Please reply with any questions or concerns you might have. You have my most sincere appreciation for everything you do in support of our guests during shelter week. Keep these men and all the homeless in your prayers as you prepare for their arrival.

Overnight Host Jobs: (three needed):

    Shifts:   10-1AM  Lights out at 10PM, Put away coffee.
                1-4AM    Stay Alert!
                4-7AM    Lights on at 6AM. Start coffee at 5-5:30AM
                             Men must be ready for 7AM pick-up.

        Host must dust mop and put away chairs taken out by men.

    4. Sleep when not on duty.

The details:

A) Please plan on arriving at the St. Francis gym between 8:30pm and 9:00pm on your assigned evening. We'll socialize, snack and cleanup between 9 and 10. "Lights out" occurs at 10pm.

B) The overnight hours will be divided into 3 roughly equal segments. Each host will be awake and "on duty" in the gym office during their shift. A good book will help during your on duty time. While off duty, the hosts will sleep in the religious education office. Bring a sleeping bag or some other appropriate bedding for your hours of sleep.

C) We cannot and should not use any of the computers in the school/gym area. Please handle any work or personal issues requiring computer access during a time before or after your night as a host.

D) We have "lights on" at 6:00am each day so the men can begin their preparations to leave St. Francis by 7:00am. You are free to leave the shelter at any time after 6:00am. The shelter has a rule saying none of the men can leave the building after 10:00pm, even to go outside for a cigarette. If they leave the building they cannot return. I believe the hosts should live by this same rule. Obviously the rule would be suspended in any emergency situation.

E) While not required, I've found that a small flashlight can help navigate during the overnight hours.
